GSM MailMerge - help page!

GSM is a easy and powerful solution to send persoanlized emails to your clients and prospects with Google Sheets and Google Mail. 

Read the following instructions or view the video at the end of this page.

How to use (first steps!)


  1. Enter email addresses among themselve into your sheet
  2. Select some of the cells
  3. Got to "Add-ons" menu and call "Open send form"
  4. Choose a mail template (the list comes from your gmail drafts)
  5. Click on 'Send'  

    Remark: All email addresses would be also checked during the send task!

Merge data from your sheet into the email

  • It is very similar to the first example. Enter additional data (like: firstname, lastname, city, client id, ...) also into the sheet and add in row 1 a column name (Tip: without spaces).
  • Now switch to gmail and enter the column names covered by { } into the Google Mail template. They can be used in the subject line and also in the mail body.

Check duplicate email addresses

When you add new email addresses to your list, you have to check if they are already entered. For this job GSM has a very useful function with the same handling as used before. Select your data and call the function. Dont forget: The column right of your selction is used by GSM!
As result GSM writes the word "DUPLICATE" in rows wich email address was already seen in a row before. In most cases such rows can be deleted. 

The duplicate function checks also if the email address is valid. If not, you will see "INVALID" in the GSM column. 

Note: Depending on your selection, it can take a while to run the function!!

Good to know

  • The column right of your selection - is used by GSM. 
    • After sccessful sending, GSM enters there a timestamp
      (same for all records in this selection)
    • If a email address is not valid, GSM enters there a "INVALID" note. 
    • When this cell has already some content, the GSM sending loop will skip the row.
      Tip: If you want to leave aside some rows, enter text in this column
  • When you copy paste or edit a variable name, it can contain hidden html code. In this case the variable cannot be replaced. To solve thsi issue, remove the variable in your email template and reenter the name and the { } manually.
  • How many email you can sent per day, depends on your google account. The limit for free accounts is 100, and for business accounts 1500 email / day.
    Note: That is not a limit from GSM - it´s from google.
